A one-time non-refundable $500 onboarding fee will be remitted.
Fees for sessions will be billed monthly and automatically charged to the credit card provided on the 1st of the month for the previous month’s sessions. Receipt of payment will be sent by email.
All payments must be received by the 7th of the month. On the 8th of the month, a late fee of 10% of your total bill will incur.
In signing these policies, you are bound to pay for services rendered and agree to keeping a credit card on file.
Attendance/Cancellations
Consistent attendance is essential for steady progress. However, if your student is unable to attend a session, cancellation must be confirmed at least 24 hours in advance via email only in order to avoid a full charge. Cancellations with less than 24-hours notice will result in a charge for a full session.
Students should arrive and be ready to begin their session at the scheduled time.
A session will not be extended if a student arrives late. If you are running late, please let your clinician know right away. If you will be more than 15 minutes late, a no show fee will be applied at the full session rate.
If there is a school holiday or day off, the student is still expected to keep scheduled appointments with Kapp Educational Therapy unless otherwise arranged in advance.
Please notify Kapp Educational Therapy of the need to reschedule due to illness. If a child comes to a session ill, Kapp Educational Therapy reserves the right to terminate the session and the client will be billed in full.
If sessions are canceled 3 consecutive times there is no guarantee your preferred time slot will be held.
If educational therapy is terminated mid-month, client will be billed amount due on day of termination with payment due within 7 days.
Extra Fees
Phone Calls: Parents are encouraged to schedule a call and discuss any concerns. A prorated session fee will be charged for calls longer than 15 minutes.
School Visits: Observational visits to your child’s classroom may be necessary and are subject to hourly rate.
School Conference/Meeting Attendance: At times, it is recommended that educational therapists be present for school conferences, IEP or teacher meetings. These hours are subject to hourly rate.
Tardiness: We understand that we all run late sometimes. Please communicate with Kapp Educational Therapy via email should you expect a delay in your arrival or pick-up as anxiety can arise in children when this happens. If tardiness becomes a consistent issue, additional fees will be applied. This is done to ensure the confidentiality and well-being of each client.
Materials: At times, special materials may need to be purchased. This will be the client’s financial responsibility. This will never be done without prior parent approval.
Materials
Students should bring with them to every session: Charged laptop, backpack and/or binder, textbooks necessary for homework or otherwise requested, pencils, pens, and lined paper appropriate for their tasks.
Communication
Educational Therapy appreciates and thrives on communication and collaboration. Therefore, please only communicate via email and Kapp Educational Therapy will make every effort to get back to you within 24 hours. We do our best to respond during our work days and hours. Emails received on Fridays will be answered the following Monday.
At times, communication with other professionals and/or your child’s school will become necessary. We promise never to communicate without your written consent.
Please be mindful that clinicians are in session until about 8:30PM so if a later evening email is sent, we will respond on the next working day.
Additionally, text messaging should be limited to emergency situations and communication about your child's safe arrival to the office or return to your car.
Scheduling, updates, and feedback should all be sent in an email to facilitate record keeping and continuity.
